PAYROLL AND ADMINISTRATION COORDINATOR
Permanent, Full-Time Position (35 hours/week)

Reporting to the Executive Director, the Payroll and Administration Coordinator will be responsible for:
1. Customer Service and Reception

Respond to requests for information and general inquiries from external parties or direct them to the appropriate individuals for resolution.

Provide information regarding donations and assist donors by phone, when needed, in completing donation forms.
2. Payroll, Human Resources, and Accounting
-
Compile payroll data, prepare payroll instructions, and ensure supporting documentation is submitted for all expense reimbursements.

Perform monthly reconciliations related to payroll and employee benefits.

Prepare hiring documentation, welcome new employees, and act as a resource person for staff.

Carry out accounting-related tasks (e.g., invoicing, accounts payable, cheques, etc.) and answer questions from the Financial Controller regarding payroll and billing.

Coordinate and liaise with the external accounting firm regarding invoices to be paid and the deposit of received cheques.
3. Administration

Support the Executive Director and the Board of Directors by preparing reports and correspondence as needed (e.g., monthly reports on Nova's activities, routine correspondence, etc.).

Order supplies and maintain inventory in collaboration with nursing staff.

Prepare information packages containing documents provided to clients during their initial meeting.

Support the administrative team in organizing special events, meetings, and training sessions, and ensure post-event follow-up (e.g., preparing training certificates, distributing feedback questionnaires).
Desired Profile and Qualifications

You have formal education in a field relevant to the role (administration, accounting, or human resources).

Certification from the National Payroll Institute is considered a significant asset.

Combined with meaningful experience in a similar coordination, administrative support, or customer service/reception role, your qualifications will be highly valued in this position.

Demonstrated professionalism, discretion, attention to detail, and accuracy when handling payroll information and employee records.

Advanced bilingualism in French and English, both spoken and written.

Proficiency with Microsoft Office 365, payroll systems, and commonly used computer applications.

Experience in the healthcare sector and/or within a community organization or large non-profit organization is also considered an asset.
